AI bolted onto QBO vs AI mapped to your process
QuickBooks Online is where many firms already keep the books. That makes it a useful place to examine workflow, not a reason to add another layer of software. The first question is where work slows down, repeats, or waits for review. Map the handoffs around QBO before deciding whether AI belongs in one of them.
A quiet process map is more useful than a tool list. Note who receives the bank feed, who codes transactions, who checks the work, and where a client question interrupts the day. Then look for patterns that can be surfaced without moving judgment away from the person responsible for the file.
Common QBO friction points worth examining first
Start with the places where the same small decisions recur: uncategorized transactions, missing memos, matching and review queues, month-end checklists, report preparation, and follow-up questions. These are not automatically AI tasks. They are places to observe the pattern, the exception, and the point where a human review is required.
Ask how much time is spent finding the next item, comparing it with prior work, writing a review note, or asking a client for context. A firm-specific answer is usually more useful than a generic promise about automation.
Bank feeds, memos, and review notes: pattern vs exception
A QBO bank feed can contain repeatable patterns alongside transactions that need context. AI can assist by organizing candidates, highlighting differences, or drafting a memo for review. It should not quietly turn a suggestion into a posted entry or replace the reviewer who understands the client.
The same approach applies to review notes. A system may help group recurring observations, summarize what changed, or draft a question. Keep the exception visible. Keep the source record close. Make it easy for a bookkeeper or accountant to accept, revise, or reject the suggestion.
What to keep human-reviewed
Keep decisions involving ambiguity, unusual transactions, owner intent, tax-sensitive treatment, materiality, and client communication human-reviewed. Define what an AI assist may suggest, what evidence it should show, and who signs off. That creates a bounded workflow that can be tested without making the firm dependent on a black box.
Before changing a process, measure a small sample: time spent, rework, unresolved items, and review quality. If the pattern is not clear, the right next step may be better documentation rather than another tool.
